Formal Letters
In general training, there are basically 3 types of letters: formal, semi-formal, informal or personal letters. In each type of letter, a different language is used. Each type has its own beginning and different signing off. The initial step when you write the letter is to identify the type of letter before you jot it down.

Below are examples of the three different types of letters.
A formal letter is to someone you know in a formal way (a landlord, a boss, a manager, a teacher etc) or someone you have not met and whose name you don’t know (customer services, local council, hotel manager etc) about a serious or formal situation.
On a recent holiday, you lost a valuable item. Fortunately, you have travel insurance to cover the cost of anything lost.
Write a letter to the manager of your insurance company. In your letter
Describe the item you lost.
Explain how you lost it.
Tell the insurance company what you would like them to do.

TIPS TO WRITE “Perfect Formal Letter”
The first and foremost tip is regarding time management. You should utilise 3-5 in careful reading and planning the letter. In total, you should devote 20 minutes to writing a letter. At the end, you should leave 2 minutes to check your written content.
You must write more than 150 words. You can prefer words between 150-180, but it should cover the length and content in an appropriate manner. Pay main concentration on the aim and purpose of the letter.
Addressing the person and giving an opening line is mandatory. Write the sign off in an accurate manner.

Focus on the receiver given. Identify carefully to whom you have to write the letter. This will bring clarity, the proper tone and the style of letter written.
It’s vital that you should prefer three detailed points to structure your letter.
One should always use your imagination to write the different details and the names of the people, any location (if required).

Mostly the letters are given with a variety of content and the style of writing is affected by the type of letter given. The aim of the letter should be crystal clear to the examiner.
What does the “ opening” of the letter mean?
In general, opening means the start or beginning of something. In a letter, the opening line is basically a line which conveys the reason for letter writing. Opening statements vary between formal and informal letters.

In this letter type, grammar plays a crucial role. Grammar should be accurately used. One should prefer to write in the passive form. Usage of contractions such as I’d, I’m, I’ve is not applicable.
Vocabulary should also be used formally. It should not contain friendly or informal words. Salutation must be written properly. For example, if the person is your colleague as well as a good friend, you need to write a letter to him for office purposes, then you have to start the letter with “Dear Sir” for salutation purposes, because you are basically writing for office purposes to that person. Although you have a good bond with your colleagues, whenever you write a letter you always require formal salutation.

Structure of the letter
Letter structure provides clarity to the reader. So it must be written in a good way. Your structure should contain 3 different paragraphs which must include the content asked in the question.
Here is the structure:
Salutation: Dear Sir
Opening Statement: write it with completed thought of the letter. In other words, include the reason with the clarity.
Body paragraph 1 (one point with detail)
Body paragraph 2 (another point with detail)
Body paragraph 3 (final point with detail)
Closing statement (if needed)
Signing off
Name (choose a name or use your own)
