Your workplace has recently replaced in-person team meetings with online video calls. You feel that this change has affected team communication.

Write a letter to your manager. In your letter:

– Explain how team communication has changed

– Describe the problems this has caused

– Suggest how the situation could be improved

SAMPLE ANSWER

Dear Mr. J,

I hope this message finds you well. I’m writing to share some concerns regarding the recent switch from in-person team meetings to online video calls.

While virtual meetings offer convenience, I’ve noticed a significant decline in the quality of team communication. Discussions that used to flow naturally in person now feel more fragmented, and it’s become harder for team members to contribute spontaneously. Non-verbal cues, which often help us understand each other’s ideas and emotions, are also largely lost during video calls.

As a result, we’ve experienced some misunderstandings regarding task assignments, and there’s been a noticeable delay in decision-making. Some colleagues have mentioned feeling less connected and more hesitant to speak up.

I understand that remote options are sometimes necessary, but I’d like to suggest a hybrid approach — perhaps alternating between virtual and in-person meetings each week. This would help maintain clear communication while still offering flexibility.
